Challange:
Itgroove is a consulting partner of Muhimbi, working with its end client, BC Ferries. BC Ferries had a time-consuming method of manually revising and distributing paper-based process and procedure information to its 35 ships and 47 terminals, which increased the risk that employees would not receive important safety updates in a timely manner. Every ship had 26 feet of binders full of our policies and procedures-together, those binders would reach the height of the Eiffel Tower.
Updating policies and procedures involved a laborious manual process of physical sign-offs, rife with version control issues and confusion about who needed to approve which changes. The process was so time intensive they could only do updates once or twice a year, but felt their employees deserved better access to information.
Benefits and Outcomes:
In total, 20,000 paper files have been condensed into 90 unique PDFs that can easily be electronically transmitted, updated, etc. through the use of Muhimbi’s PDF Converter for SharePoint. BC Ferries is going to add even more files now as well because this process has worked out so well. It’s very green, it means improved safety and will save a lot of money.
In a nutshell, the project has showed BC Ferries how much more than can be done with SharePoint and folks are excited about it. Again, it’s played an integral role in a project that’s green, has saved BC Ferries money, administrative head-ache, and increased the quality of information exchange.
