Challenge

Mott MacDonald is a global engineering and management firm that supports some of the world’s highest profile infrastructure and development projects. With 16,000 employees across 150 countries, the company’s SharePoint infrastructure is an invaluable resource for storing and sharing data enterprise-wide.

However, employees were finding it challenging to quickly find the information they needed among the tens of thousands files in SharePoint, especially when they needed to leverage expertise from each other’s projects. The company needed to enhance its data management processes to facilitate knowledge-sharing among employees and provide better service and long-lasting value to customers.

Strategy

Mott MacDonald chose Netwrix Data Classification, which uses machine learning technology to automatically discover, classify and tag content. The company recognized that reliably classifying all its data would enable them to structure it appropriately and make it more easily searchable. In fact, the company found that its existing SharePoint search tool could use the tags to enable staff to find relevant documents quickly, and the search results could be filtered by sector, discipline, format, date produced, author and other criteria. The company’s goal was to use Netwrix Data Classification to enable all of its SharePoint content to be instantly retrievable and used with confidence.

Results

Over the course of 18 months, Mott Macdonald was able to test, scale up and roll out the solution. Within the first 10 months of use, Netwrix Data Classification discovered and tagged more than 12,000 documents. The initial investment was around £0.35 million, most of which were labor costs. This was recovered many times over by the estimated £1.4 million in saving to the business each year that the automatic tagging and faster search delivers. Now, employees spend far less time looking for the documents they need, and more time on cross-practice and cross-sector knowledge sharing.

In fact, Mott Macdonald was so impressed with Netwrix Data Classification that it has partnered with Netwrix to include the solution in its knowledge management service offering, called Smart Infrastructure.
