Challange:  Many of PD Ports’ customers
require copies of PODs attached to invoices. However, the company’s
manual processes made it hard to collate related PODs and match
them to the right invoices. Occasionally, invoices were sent out
without all the relevant attachments, and it would take
administrators a long time to find the necessary paperwork and
respond to queries.

Benefits and Outcomes:   K2 gives the
company the ability to handle, store and manage its PODs in a much
more efficient way. Now, when PODs are returned to the depot,
administrators scan them and key in the corresponding job number.
K2 then automatically verifies the job number, ensures the file
name is unique and populates the file with additional data, such as
the delivery town, delivery date and time. “We were able to save a
significant amount of time from manually filing 500 PODs a week,”
Clarke said. “We improved the invoicing process because the
documentation was ready earlier. We could easily identify missing
documentation, so we give the customers a better service, and we
were able to invoice a lot quicker.”
